The Solo Software Group LLC (“TSSG,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect information in connection with the TSSG CRM Pro WordPress plugin (“Plugin”) and related services, including our website at www.thesolosoftwaregroup.com (collectively, the “Service”).
The Plugin is self-hosted on your WordPress site. We do not host, access, or store your business data on our servers. By using the Service, you consent to the practices described in this policy. If you do not agree, do not use the Service.
1. Information We Collect
Account and Billing Data
When you subscribe to a paid tier (Premium or Sovereign), we collect your name, email address, and billing information. Payment processing is handled by Stripe. We do not store full credit card numbers. Stripe may share limited transaction details (such as the last four digits of your card) for your records.
Plugin Usage Data
If you opt in via the Plugin settings, we may collect anonymized usage analytics such as feature usage patterns and error logs. This data is used solely to improve the Plugin. License and version checks (used to deliver updates) may collect minimal data such as your site URL, IP address, and Plugin version. These checks are necessary for the Service and cannot be disabled.
Your Business Data
All client records, proposals, jobs, invoices, contacts, addresses, service logs, tasks, and other business data you enter into the Plugin are stored entirely on your WordPress site and database. We do not access, collect, transmit, or store this data. Open text fields within the Plugin may contain any information you choose to enter. We disclaim responsibility for the content of open text areas.
AI Data (Sovereign Tier)
If you enable AI features in the Sovereign tier, the AI operates through a structured query interface using your own API keys. The AI does not have direct access to your stored business data. It generates structured queries that your Plugin executes locally to retrieve information. The AI provider only receives the natural language instructions you provide and the structured results returned by the query system. Your client records, financial data, and other business information are not transmitted to the AI provider unless you explicitly include specific details in your prompts. TSSG does not process, intercept, or store any data exchanged between you and your AI provider.
Integration Data
When you use Plugin integrations (such as Stripe for payments, Twilio for SMS notifications, or USPS for address validation), data is transmitted directly between your WordPress site and those third-party services. We do not retain or have access to data exchanged through these integrations.
Automatically Collected Data
When you visit our website or interact with our update servers, we may automatically collect standard technical information such as IP addresses, browser type, device information, and referring URLs. The Plugin may use cookies or local storage on your WordPress site for functional purposes such as preserving user preferences, preventing data loss during editing, and managing session state.
2. How We Use Your Information
We use the information we collect to: provide and maintain the Service, including subscription management and update delivery; process payments through Stripe; communicate with you regarding your account, support requests, and important notices; improve the Plugin based on anonymized, opt-in usage data; and comply with legal obligations.
3. How We Share Your Information
Payment Processing: Stripe processes your payment information under their privacy policy and terms of service.
Third-Party Integrations: When you configure integrations (Stripe, Twilio, USPS, AI providers, and others), data is exchanged directly between your site and those services. We do not act as an intermediary.
Service Providers: We may use hosting or infrastructure providers for our website and update servers. These providers process only the minimal data necessary (such as IP addresses for update checks).
Legal Requirements: We may disclose information if required by law, legal process, or government request, or if necessary to protect our rights, safety, or property.
Business Transfers: In the event of a merger, acquisition, or sale of assets, your account information may be transferred to the acquiring entity.
We do not sell, rent, or trade your personal information to third parties for marketing purposes.
4. Data Storage and Security
Your business data (clients, proposals, invoices, and all other Plugin data) resides entirely on your WordPress site and is subject to the security measures of your hosting environment. We strongly recommend that you maintain secure hosting, use strong passwords, keep WordPress and all plugins updated, and implement regular backups.
Account and billing data maintained by TSSG is stored using industry-standard security measures including encryption in transit. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
We retain account data for as long as your account is active, plus any additional period required by law or for legitimate business purposes. You may request deletion of your account data at any time.
5. Your Rights and Choices
All Users: You may access, correct, or request deletion of your account data by contacting [email protected]. You may opt out of marketing communications at any time. You may revoke AI consent at any time through the Plugin settings (this will disable AI features). You may opt in or out of anonymized analytics via the Plugin settings. You may manage cookies through your browser settings, though this may affect website functionality.
GDPR (European Union): If you are located in the EU, you have additional rights under the General Data Protection Regulation, including the right to data portability, the right to object to processing, the right to restriction of processing, and the right to lodge a complaint with your local data protection authority. For account and billing data, TSSG acts as the data controller. For data processed through third-party integrations, TSSG acts as a data processor on your behalf.
CCPA (California): If you are a California resident, you have the right to know what personal information we collect and how it is used, and the right to request deletion of your personal information. We do not sell personal information.
6. Children’s Privacy
The Service is not intended for use by individuals under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have collected such information, we will take steps to delete it promptly.
7. International Data Transfers
If you are located outside the United States, your account and billing data may be transferred to and processed in the United States. We take reasonable steps to ensure that data transfers comply with applicable data protection laws, including the use of standard contractual clauses where required.
